Licensing Operations Coordinator
Location
US - United States (Remote), or Hybrid in Culver City.
Role Overview
Support a growing live-service approval pipeline spanning in-game content, live events, campaigns, trailers, video, copy, and other player-facing materials. Partner with Product, Art, Production, Marketing, UA, CRM, ASO, Social, Community, and external licensors to ensure submissions are accurate, organized, and moving forward.
What You Will Do
- Prepare and submit game and marketing assets for licensor approval, ensuring submissions are complete and accurate.
- Maintain submission trackers and approval records, monitor review status, and follow up on outstanding items.
- Translate licensor feedback into clear, actionable next steps and coordinate revisions across internal teams.
- Confirm requested changes are complete and coordinate timely resubmissions.
- Provide clear status updates to internal stakeholders and external licensors.
- Identify missing information, conflicting feedback, schedule risks, and potential brand, likeness, or content concerns.
- Escalate risks and blockers to the appropriate stakeholders to keep approvals on schedule.
- Improve submission standards, templates, trackers, and documentation as approval volume and requirements grow.
What We’re Looking For
- Experience in production, project coordination, creative operations, licensing, advertising, entertainment, or a related field.
- Experience managing detailed workflows, deadlines, documentation, and multiple stakeholders.
- Strong organization, attention to detail, and follow-through.
- Clear written and verbal communication skills.
- Ability to turn subjective feedback into clear, actionable next steps.
- Ability to collaborate effectively across creative, technical, and business teams.
- Sound judgment when identifying risks, blockers, missing information, or issues requiring escalation.
- Experience using spreadsheets, databases, project-management tools, ticketing systems, or similar platforms.
Bonus Points
- Experience in video games, entertainment, licensed content, or live-service development.
- Familiarity with approval workflows for art, video, copy, audio, marketing, or in-game assets.
- Understanding of live operations, release schedules, and cross-functional game development.
- Experience working directly with licensors, publishers, clients, or external partners.
- Familiarity with Jira, Confluence, Airtable, Google Workspace, Microsoft Office, or similar tools.
Compensation
- For candidates in CA, CO, NJ, NY, and WA, the annual salary range is $80,000 - $105,000 USD.
- Base pay offered may vary depending on job-related knowledge, skills, and experience.
